Terms

The agreement for using PlaceOne.

These terms cover who may use PlaceOne, what each party is responsible for, and how an agreement ends.

Draft

This text is a working draft written from our published trust principles. It has not been reviewed by counsel and is not yet binding. It is published so the commitments are visible while review is under way.

Who the customer is

The customer is the property owner or governing body that holds the account, not an individual manager or employee. Managers, staff, and vendors use PlaceOne on the customer's behalf and under the customer's direction.

Accounts and access

Customers are responsible for who they invite, what role they assign, and for removing access when a relationship ends. PlaceOne records these changes but does not decide them.

Accounts are for named people. Shared logins undermine the record's accuracy and are not permitted.

Acceptable use

PlaceOne may not be used to:

  • Collect or hold information about a person without a legitimate relationship to the property.
  • Share a property's record outside the approvals recorded in the system.
  • Attempt to access another customer's records, or to probe, scan, or disrupt the service.

Our responsibilities

We will keep the service available and secure, apply the privacy commitments described in our privacy policy, and give notice before a material change to these terms.

We will not use a customer's records for any purpose other than providing the service to that customer.

Fees

Fees, billing period, and any usage limits are set out in the customer's order. Fees are stated before an agreement begins and do not change during a term without notice.

Ending an agreement

A customer may end their agreement at any time. On termination we provide an export of the property's record and delete our copy on request, subject to any retention we are legally required to keep.

We may suspend an account for non-payment or for use that breaks the acceptable use section, after notice and a chance to correct it.

Limits

PlaceOne records relationships that customers and participants confirm. It is a system of record, not a background check, a legal opinion, or a guarantee about any person or organization.
